# AI for accountants and finance managers

Use ChatGPT, Claude or Copilot for formulas, checklists, queries and commentary drafts. The numbers come from the ledger and the bank, and a person approves and posts everything.

## Where AI fits in finance work

The rule is simple. The numbers come from the ledger and the bank. AI drafts words, formulas, structure and checklists. A person checks, approves and posts.

That's it, really.

ICAEW's do's and don'ts for generative AI back this up, and they're worth reading in full. Start small, with projects that aren't business critical. Review and challenge what comes back with professional scepticism, which means watching for automation bias (the habit of trusting a tidy-looking answer because it's tidy-looking). Be open about when AI has been used. Don't abdicate responsibility, because outputs need human oversight. Keep client and confidential internal data off public AI tools. And don't ignore inconsistencies or inaccuracies, even the small ones. Especially the small ones.

So the list of what to hand over runs from lowest risk to highest. Work down it in order. If the first few feel boring, good. Boring is what you want from your first AI projects in a finance team.

## Bank reconciliation is the obvious first process

Bank reconciliation is where most people start, and it makes sense: the work is repetitive and the answer is checkable against a statement.

But layer it properly. Your software matches first. Bank rules code the recurring lines, and Xero suggests matches against transactions already in the ledger. In Xero, JAX ("Just Ask Xero") can also reconcile statement lines automatically when it's highly confident, using four methods labelled Rule, Match, Memory and Prediction, and you can review what it reconciled and fix mistakes. Automatic reconciliation comes with the Grow plan and above in the UK, or as an add-on on the smaller plans.

Then there are the leftovers: the odd lines with a description that's a string of codes and half a name. A general assistant can help you think about what those might be, working from the description text alone, never the account details. It can also draft your reconciliation checklist and write the Excel formulas for your comparison workbook.

## Where general AI and your accounting software meet

These are two different things, and people blur them.

Built-in AI like JAX lives inside your accounting software and works on your books, with the permissions that come with that. A general assistant like ChatGPT, Claude or Copilot sits outside, and only knows what you tell it, or what a connection lets it read.

Xero now has an official connector in Claude, and it's read-only: Claude can't change anything in your books. Since 15 September 2026 there's also a Xero plugin in ChatGPT. Xero's developer MCP server is a different animal, because it includes write commands. The Xero page sets out what each one does and which reports to export when a live connection isn't the right fit.

Read-only matters. It means the worst case from a mistaken answer is a wrong sentence in a draft, not a wrong journal in the ledger. Keep it that way for as long as you can.

## What to hand to AI first (ranked, lowest risk first)

1. **Excel formulas and spreadsheet structure.** Describe the columns, never paste the data. The AI writes the XLOOKUP, SUMIFS or COUNTIFS; Excel does the arithmetic, and you test it on rows where you already know the answer.
2. **Checklists and working-paper templates.** Month-end and reconciliation checklists are structure and words, no numbers. Ask for a draft, then cut it down to what your team actually does.

4. **Cash-flow forecast structure and assumption wording.** AI builds the weekly grid, the formulas and the first draft of the assumptions. 7. **Commentary drafts from figures you choose.** You pick the figures and give the reasons; the AI writes around them. Read every sentence against the numbers before it goes anywhere.
8. **Queries to budget holders and suppliers.** Low stakes once you have the facts straight. Let the AI handle tone and phrasing, and read each one before you send it yourself.

## Keep human, for now

- Approving and posting journals and reconciliations
- The numbers themselves, which come from the ledger and the bank
- Judgement calls on provisions, accruals and write-offs
- Payments and changes to bank details
- Anything signed off to a board, a lender or HMRC

## Do

- **Start small.** ICAEW's advice is to begin with projects that are not business critical. Formulas and checklists come first for that reason.
- **Take the numbers from the system of record.** Balances, invoices and dates come from your accounting software and the bank, never from the AI.
- **Review with professional scepticism.** Challenge every output and watch for automation bias: trusting a tidy answer because it looks tidy.
- **Be open about AI use.** ICAEW recommends making it clear when AI has been used in a process or to create an output.
- **Let the software match before AI gets involved.** Bank rules, suggested matches and, in Xero, JAX's automatic reconciliation come first. General AI is for what is left over.

## Don't

- **Don't paste client or confidential data into public tools.** ICAEW's guidance is to keep client and confidential internal data off public AI tools. Describe the layout; leave out the data.
- **Don't type in a number the AI gave you.** If a figure did not come out of a formula or the ledger, it does not go in the file.
- **Don't hand over responsibility.** AI outputs need human oversight. The preparer and the reviewer still sign, and they sign for the content.
- **Don't ignore small inconsistencies.** A total that is slightly off, or a sentence that doesn't match the figures, is the AI telling you something. Chase it.
- **Don't assume a connection is read-only.** Xero's connector in Claude is read-only. Xero's developer MCP server includes write commands. Check before you connect.

## Before you paste anything: confidentiality and UK GDPR

Before you paste anything, ask two questions: is there personal data in it, and is it confidential to my organisation or a client? If the answer to either is yes, use a tool your organisation has approved, under a business contract, and send only what the task needs.

Never paste these into a personal (consumer) AI account:

- Payroll reports, salaries by name, bank details or National Insurance numbers
- Named employee records: health, absence, grievance or disciplinary details
- Customer or supplier ledgers with names attached
- Unpublished results, forecasts or board papers
- Anything a client has given you
- Passwords, API keys or bank logins (in any tool, ever)

UK GDPR, in four lines:

- **Send the minimum.** UK GDPR's data minimisation principle says personal data must be adequate, relevant and limited to what is necessary for the purpose. For most tasks on this site, the personal data the AI needs is none. - **Know who is controller and who is processor.** Under a business contract, the AI provider usually acts as your processor. On a personal consumer account, you are agreeing to the provider's own consumer terms instead. - **Check where the data goes.** Many AI services process data outside the UK. Restricted transfers need safeguards, which a business agreement usually addresses and a personal sign-up does not. - **The ICO has AI-specific guidance.** It covers accountability, transparency, accuracy and security when organisations use AI with personal data. Consumer plans vs business tiers (checked 2026-10-01; providers change their terms, so read the live page and your contract):

- **OpenAI (ChatGPT).** Personal plans: conversations can be used to train models unless you turn off "Improve the model for everyone" in Settings > Data controls. ChatGPT Business, Enterprise, Edu and the API: not used to improve models by default.
